Building an AI Acceptable Use Policy: A Guide for Security Teams

Every organization needs an AI acceptable use policy. Here's what to include, how to enforce it, and the mistakes to avoid.

If your organization does not have a written AI acceptable use policy, your employees are making their own rules. Some are being cautious. Others are pasting customer databases into ChatGPT. Without a clear policy, you have no basis for enforcement and no standard for compliance. Here is how to build one that actually works.

Why a Separate AI Policy Is Necessary

Most organizations have existing acceptable use policies that cover technology, data handling, and information security. These policies were written before generative AI became a daily productivity tool for knowledge workers. They typically do not address the specific data flows, risks, and usage patterns that AI tools create.

A general policy that says “do not share confidential data with unauthorized third parties” is technically applicable to AI usage, but it provides no specific guidance. Employees do not think of typing a prompt as “sharing data with a third party.” A purpose-built AI policy makes the expectations explicit and actionable.

Key Sections to Include

Scope and Definitions

Define what the policy covers. This should include all generative AI tools: chat interfaces (ChatGPT, Claude, Gemini), coding assistants (Copilot, Cursor), image generators, and any other AI service that accepts user input. Be explicit that the policy applies regardless of whether the tool is accessed through corporate or personal devices, and regardless of whether the account is corporate or personal.

Approved and Prohibited Tools

Maintain a list of AI tools that the organization has evaluated and approved for use, along with any conditions (e.g., enterprise tier only, specific use cases). Separately list tools that are explicitly prohibited, and state the default for tools not on either list. A common approach is to default to prohibited unless approved, which gives IT and security teams the ability to evaluate new tools before they are adopted.

Data Classification and Handling

This is the core of the policy. Define what types of data may and may not be submitted to AI tools, organized by the organization’s data classification framework:

  • Public data. Generally permissible to share with AI tools.
  • Internal data. May be permissible with approved tools under specific conditions.
  • Confidential data. Prohibited from submission to external AI tools. This category should explicitly include customer PII, financial data, trade secrets, source code, credentials, and any regulated data.
  • Restricted data. Absolutely prohibited. This includes MNPI, classified information, and any data subject to specific contractual or regulatory handling requirements.

Use Case Guidelines

Provide specific examples of acceptable and unacceptable AI usage. Generic prohibitions are less effective than concrete scenarios:

  • Acceptable: Using an approved AI tool to draft a blog post about a publicly known topic
  • Unacceptable: Pasting a customer support transcript containing customer PII into any AI tool
  • Acceptable: Asking an AI tool for help with a generic coding pattern
  • Unacceptable: Pasting proprietary source code including authentication logic into an external AI tool

Accountability and Consequences

State clearly that employees are responsible for the data they submit to AI tools, and define the consequences for policy violations. These should align with the organization’s existing disciplinary framework and escalate based on the severity of the violation.

Incident Reporting

Define how employees should report suspected AI-related data leakage, whether their own or a colleague’s. Make the reporting mechanism simple and non-punitive for self-reporting to encourage transparency over concealment.

Enforcement: Policy Without Teeth Is a Suggestion

A written policy is necessary but not sufficient. Without technical enforcement, an AI acceptable use policy is an aspirational document that provides liability protection for the organization but does not actually prevent data leakage.

Effective enforcement requires:

  • Technical monitoring. Deploy AI DLP tools that can detect policy violations in real time, providing both prevention and an audit trail.
  • Regular training. Ensure employees understand not just the rules but the reasoning behind them. Training should include concrete examples relevant to each department’s workflow.
  • Periodic review. AI tools and usage patterns evolve rapidly. The policy should be reviewed and updated at least quarterly to remain relevant.
  • Consistent application. Enforce the policy uniformly across the organization, including senior leadership. Selective enforcement undermines credibility and compliance.

Common Mistakes to Avoid

  • Being too vague. “Use AI responsibly” is not a policy. Employees need specific, actionable guidance.
  • Being too restrictive. Policies that prohibit all AI usage will be ignored. Allow productive use cases while restricting dangerous ones.
  • Ignoring personal devices. If the policy only covers corporate devices, employees will use their phones. Address personal device usage explicitly.
  • Set and forget. An AI policy written in January may be outdated by March. Build in a review cadence.
  • No technical controls. A policy without monitoring is an honor system. Honor systems do not scale.

Start Now, Iterate Later

The perfect AI policy does not exist. The landscape is evolving too quickly for any document to be comprehensive and permanent. But having a clear, enforceable baseline policy today is vastly better than having nothing while you wait for conditions to stabilize. Write the policy, deploy the controls, train the workforce, and plan to revise it regularly as the technology and threat landscape evolve.
